Executive Assistant

A rare opportunity for an experienced and professional Executive Assistant, working within a large Government organization for a 12 month contract.

The role:

A rare opportunity for an experienced professional Executive Assistant for a role within a Government Department. This role is a 12 month contract based in Box Hill, and then relocating to Melbourne CBD early 2021, supporting the Head of the Branch

The Executive Assistant will be responsible for providing executive level support and coordination. You will need to develop a strong working relationship with the team and Head of the Branch The successful candidate will hold responsibilities for comprehensive and clear meeting minutes and agendas up to board level. You will be confident in setting process and structure within the unit and have a clear eye for process improvement.

Key responsibilites:

  • Organise and manage the Branch Head's day to day priorities, including fielding of telephone calls, and management and coordination of e-mails and various workflow.
  • Manage the diary of the Branch Head and coordinate meetings, including management of papers, coordination of attendees, organising pre-briefs where required and preparation of meeting minutes or records where required.
  • Communicate and liaise with internal and external stakeholders, including executives from the organisation or other organisations, on a wide range of issues, maintaining respect, confidentiality and effective working relationships
  • Develop and maintain administrative systems that support the daily running of the office, including diary management, preparation of correspondence, minutes, and maintenance of filing systems.
  • Oversee purchasing, invoicing and acquittals, coordinate provision of equipment and office technology, and support property and office management, on behalf of the Branch Head and State and Territory directors.
  • Manage travel and accommodation bookings for the Branch Head and State and Territory directors.
  • Provide other administrative assistance to the State and Territory directors as required.

To be successful for the role, you must:

  • Demonstrated experience in executive support or similar roles, with high-level skills in executive support.
  • Ability to work both autonomously and collaboratively in a widely distributed team, undertaking tasks for multiple staff, and with an ability to manage competing and varied demands in a busy work environment
  • Effective listening and communication skills, both in written and oral communication.
  • A good eye for detail, particularly in record keeping and communications with others, and a commitment to providing high-quality, professional support.
  • Strong typing and data-entry skills, with advanced experience with Microsoft Word and a good understanding of Excel and other Office products, or a demonstrated ability to learn new systems quickly.
  • An understanding of the NDIS Quality and Safeguarding Framework and the NDIS Act.
  • Lived experience of disability or demonstrated understanding of disability services in a State or Territory Government context would be an advantage.
