About the Client:

Our client proudly provides strong evidence (data and information) that creates better decisions and improved health and welfare. Our client engages nationally and internationally with authorities to develop, promote and delivery quality standards, systems and process for collecting, curating and linking health and welfare data.

About the Role:

Our client is looking for an Executive Assistance to support their Chief Executive Officer for 6 months with a strong chance of extension. You will play a pivotal and trusted role in the provision of essential executive assistant services to the CEO and Deputy CEO including provision of high level administration support.

Duties:

  • Provide high level support to the CEO and Deputy CEO of the Institute including: effective management of the diary, email communication, planning schedules, appointments, meetings, travel and associated tasks
  • Analyse enquiries and requests for assistance to determine and take appropriate action on behalf of the CEO and Deputy CEO, including the redirection of enquiries to appropriate areas/personnel
  • Undertake other ad-hoc coordination tasks as requested by the CEO and Deputy CEO including assisting with hosting meetings and preparing presentations
  • Maintain systems and practices that promote forward planning to ensure the CEO has all the relevant documentation, reports and associated information well in advance for meetings and appointments and that enable the CEO and Deputy CEO to be thoroughly prepared for meetings
  • Maintain a sound general knowledge of the role and responsibilities of the Institute, including an understanding of the Australian Public Service operating environment more broadly
  • Work independently, taking responsibility for the delivery of assigned tasks, including planning and monitoring individual work processes, anticipating problems, and discussing these with team leaders or subject matter experts
  • Manage confidential briefings and correspondence discreetly
  • Provide a central coordination point for other executive assistants (EAs) including:
    • coordination of monthly EA meetings
    • answering phone calls
    • coordinating EA support to other Group Heads during absences of their EAs
    • other general EA issues

This role requires that the successful candidate undergo an Australian National Police Check.
